How long to keep VAT records in the UAE, and what counts as a record

Record keeping is the least exciting part of VAT and one of the most expensive to get wrong. Under the current penalty rules, failing to keep required records costs AED 10,000 per violation, and AED 20,000 for a repeat. Without records, you also cannot defend your input tax claims or zero-rated sales. Here is what to keep, how long to keep it and a routine that makes an FTA request painless.

How long

The general rule under the UAE tax procedures framework is that records must be kept for at least five years after the end of the tax period they relate to. That lines up with the FTA's general five-year window for audits and assessments, which the 2026 amendments to the Tax Procedures Law retained, with listed exceptions. Longer periods apply to certain records, notably those relating to real estate, so check the FTA rules if you own or deal in property.

In practice, keep VAT records for the current year plus at least five full years, and do not destroy anything relating to an open query, a refund claim or a voluntary disclosure.

Remember that the clock is tied to the tax period, not the date you received a document. A supplier bill dated 3 January for a quarter ending 31 March is kept for five years from 31 March, not from 3 January. When in doubt, keep it a little longer; storage is cheap and a missing document during an audit is not.

What to keep

The FTA expects records that let it trace every figure on your returns back to source.

  • Tax invoices and tax credit notes issued and received, plus alternative documents relating to supplies.
  • Import and export records, including customs declarations and shipping documents.
  • Records of goods and services that were exempt, zero-rated or subject to the reverse charge, with supporting evidence.
  • Records of adjustments and corrections, including voluntary disclosures.
  • The general ledger, bank statements, contracts and fixed asset registers.
  • VAT return workings, including apportionment calculations where relevant.

Form and language

Records can be kept electronically, provided they can be produced in readable form when the FTA asks. The FTA can request documents in Arabic, and published summaries of the 2026 penalty rules list a AED 5,000 penalty for failing to submit requested records in Arabic. Bilingual invoice layouts and the ability to arrange translation quickly reduce that risk.

Paper is the weak point. Thermal till receipts fade within months; a photograph taken on the day lasts. A box of receipts in a store room is not a record anyone can search.

Worked example: a records request

The FTA asks a Fujairah building supplies company for supporting documents for the input tax claimed in a quarter two years ago: AED 38,700 across 214 bills. The company's paper files are incomplete; 31 bills worth AED 5,200 of VAT cannot be found. The likely outcome is that the AED 5,200 is disallowed, with penalties on the underpaid tax, plus a records penalty if the FTA considers the gaps a failure to keep records.

A competitor that photographed every bill on arrival and kept it attached to the entry answers the same request in an afternoon, by exporting the bills with their documents.

A routine that works

Capture every document when it arrives: forward emailed bills, photograph paper ones, scan delivery notes for exports. In HelloBooks, the AI reads each document and attaches the original file to the ledger entry it creates, so the record and the posting cannot drift apart. Upload bank statements monthly. Lock each VAT period after filing. Keep exports of your ledger and documents for the archive when you change systems or close a company.

If your firm needs a specific folder structure, naming convention or document checklist across clients, we can configure it on request; email hello@hellobooks.ai.

FAQ

Frequently asked questions

Can I keep only digital copies of supplier invoices?
Electronic records are accepted if they are complete, readable and can be produced on request. A clear image of the original tax invoice, kept with the ledger entry, is far more reliable than a paper file.
What happens to records when I close my company?
The retention obligation continues after closure. Export the ledger and documents to an archive that someone can access for the full period.
Are corporate tax records kept for the same period?
Corporate tax has its own record-keeping rules. Check the current requirement with your tax agent and keep records for the longer of the VAT and corporate tax periods.
Do I need to keep emails?
Keep emails that form part of the evidence, such as a client confirming it is outside the UAE or a supplier agreeing a credit. Save them with the related transaction.
