Should I hire an accountant or use accounting software in the UAE? An honest comparison

Every growing UAE business reaches the point where the owner cannot keep the books alone. The choice looks binary: hire an accountant, or buy software and do it yourself. In practice the answer is almost always both, in a mix that changes as the business grows. The useful question is which tasks need a qualified person and which can be handled by software with AI doing the routine work. This post works through that split with real numbers.

What software with AI now handles well

Routine bookkeeping has changed. Reading a supplier invoice, posting it to the right account with the right VAT code, matching a bank line to an invoice, chasing an overdue customer: these are repeatable, rule-based tasks. AI accounting software does them quickly and consistently, and asks when something is unclear.

That covers most of the hours a junior bookkeeper used to spend. For a business with 150 bills and 80 invoices a month, the capture and matching that took a bookkeeper three or four days can now take an hour or two of review.

What still needs a qualified person

Judgement, sign-off and accountability are not software jobs.

  • Deciding VAT treatment on unusual transactions, such as mixed supplies or imports.
  • Reviewing and filing VAT returns and corporate tax returns on EmaraTax.
  • Year-end adjustments: accruals, provisions, depreciation policy, stock valuation.
  • Corporate tax planning, small business relief elections and free zone status.
  • Dealing with auditors, banks and FTA queries.

Worked example: three ways to run the books

A Dubai interiors company with AED 6 million revenue, 14 staff and quarterly VAT returns considers three options. Figures are illustrative and vary widely by firm and person.

Option one, a full-time in-house accountant: a salary of, say, AED 12,000 to AED 15,000 each month, plus visa, insurance and end-of-service costs, so roughly AED 170,000 to AED 210,000 a year. One person covers everything but is a single point of failure during leave.

Option two, an outsourced firm doing everything from shoeboxes of receipts: often priced by transaction volume and quite expensive at this size, with books updated monthly or quarterly. Option three, the owner’s admin assistant captures documents in AI software, and an outsourced accountant reviews monthly and handles returns. This hybrid is often the lowest total cost with the most current books.

When an in-house hire makes sense

Hiring becomes the right answer when there is enough judgement work to fill a role: several entities, inventory with real valuation questions, project accounting, frequent bank or investor reporting, or a group with free zone and mainland companies. At that point software makes the accountant more productive; it does not replace them.

A good first hire in a growing UAE SME is someone who understands VAT and corporate tax and is comfortable reviewing AI-prepared work rather than keying it.

Questions to ask yourself

Answer these honestly before deciding.

  • Do I know my profit for last month, today?
  • How many hours a week do I spend on bookkeeping?
  • Have we filed every VAT return on time this year?
  • Could anyone else answer a bank’s query if I were away?
  • Is our business about to add a licence, warehouse or new country?

The risk of software alone

Software without review can be confidently wrong. If the AI posts a foreign software subscription as standard-rated instead of reverse charge, and nobody checks, the error repeats every month. Owners who choose software alone should still pay an accountant for a quarterly review and for the returns themselves.

How HelloBooks supports both models

HelloBooks’ AI agent records bills, drafts invoices, reconciles uploaded bank statements and answers plain-English questions such as “what is my gross margin this quarter?”. It prepares the VAT 201 return from the ledger, and an owner or accountant reviews and files it. Accountants can join a client’s books with their own login, and firms on the Partner Program manage many clients from one place.

If you want approval rules so your accountant must sign off certain postings, the team can set them up; book a call at /book-a-demo.

FAQ

Frequently asked questions

Can AI accounting software file my VAT return?
HelloBooks prepares the return from your ledger. You or your accountant review it and file it on EmaraTax.
What qualifications should my first accountant have?
Practical UAE VAT and corporate tax experience matters more than a specific title for a first hire. For audits and tax agency work, use registered professionals.
Is outsourcing safe for confidential data?
Use a firm with clear engagement terms and give them their own login rather than sharing yours, so access can be removed and every change is logged.
