Building fixed fee accounting packages for UAE SMEs

Fixed fees are what SME owners want: one number, no surprises. They are also where accounting firms quietly lose money, because the client’s business grows while the fee stays put. The answer is not to abandon fixed fees but to build them around the drivers that actually create work, with clear limits and an annual review. Here is how we would design a package ladder for UAE SMEs.

Find your real cost drivers

Hours are a result, not a driver. The things that make one client take longer than another are measurable: number of bank transactions, number of bank accounts and currencies, number of sales invoices and supplier bills, inventory, payroll, and whether the client is VAT registered with monthly or quarterly returns.

Pull a year of data for twenty clients and see which drivers correlate with time spent. In most UAE practices, bank transactions and currencies explain most of the difference, with inventory a close third.

Design tiers around those drivers

A three or four tier ladder is enough. Each tier has a transaction band and a list of included outputs. Owners understand bands better than hours.

  • Micro: up to 60 bank transactions monthly, one AED account, quarterly reports: AED 600 monthly.
  • Small: up to 200 transactions, two accounts, VAT returns, monthly reports: AED 1,300 monthly.
  • Growing: up to 500 transactions, multi-currency, inventory, monthly management pack: AED 2,600 monthly.
  • Established: priced individually, typically above AED 4,000 monthly.

Write the limits down

Scope creep starts with good intentions: one extra bank account, one extra report, one quick question about a new branch. Write the band limits into the engagement letter, along with what happens when a client exceeds them for two consecutive months.

List what is not included, with indicative add-on prices: corporate tax return preparation if not in the tier, VAT voluntary disclosures, audit support, payroll processing, e-invoicing readiness work, and catch-up bookkeeping for months the client failed to provide.

How AI changes the bands

AI capture and matching do not remove the drivers, but they flatten the cost curve. With HelloBooks matching uploaded bank statements and posting bills read from Arabic or English documents, a 200-transaction client may cost little more to serve than a 100-transaction client did before. That lets you widen bands or hold prices while competitors raise theirs.

Keep the bands anyway. Volume still drives review time, exceptions and client questions. AI makes each transaction cheaper, not free.

A worked example

A Dubai interiors company starts on the Small tier at AED 1,300 monthly. Within a year it opens a USD account for overseas suppliers, takes on two large fit-out projects and grows to 380 transactions a month. At its annual review, it moves to Growing at AED 2,600 monthly, now with project tracking by class.

Without the review, the firm would have absorbed roughly double the work for the same fee, losing around AED 15,600 a year on one client. Multiply that by a dozen growing clients and the firm’s margin disappears.

Annual reviews without awkwardness

Make the annual review part of the package, not a surprise. Two months before the anniversary, send the client a one-page summary: transactions per month, accounts, outputs delivered, and the tier that fits. Most owners accept a move when they can see the numbers.

HelloBooks reports make this easy to prepare. The AI agent can answer “average monthly bank transactions for this client over the last twelve months” in seconds.

Handling catch-up and clean-up work

Many SMEs arrive with months of missing books, and the temptation is to fold the clean-up into the first year’s fixed fee to win the client. Do not. Catch-up work is a separate project with its own price, for example AED 450 for each month of history for a Small-tier client, agreed before the monthly package starts.

AI makes catch-up cheaper to deliver, because a year of bank statements can be uploaded and matched in bulk, with bookkeepers reviewing the proposals rather than keying every line. Pass some of that saving to the client to win the work, but keep it visible as a project so the monthly fee starts from a clean base.

Our view

Fixed fees work when both sides understand what the fee buys. Bands, limits and an annual review are not bureaucracy; they are what keeps the price fair for the client and sustainable for you. Firms wanting tier-specific reporting, such as a monthly transaction count per client, can request it through /book-a-demo.

FAQ

Frequently asked questions

Should fixed fees include VAT returns?
For VAT-registered clients, yes, in the tiers that suit them. Quarterly and monthly filers may need different pricing because monthly filing triples the number of returns.
What if a client is over the band for one month only?
Ignore one-off spikes. Move tiers only after a sustained change, such as two or three consecutive months over the limit.
Do fixed fees suit very small clients?
Yes, with a simple micro tier focused on reconciliation and quarterly reports. Keep advisory out of that tier or price it separately.
Is VAT charged on these fees?
If your firm is VAT registered, your fees to UAE clients are generally subject to 5% VAT. State whether quoted prices include or exclude VAT.
