How to record customer advance payments in the UAE, from receipt to final invoice

Advance payments are one of the best tools a UAE SME has for cash flow: a joinery workshop takes 50% before cutting timber, a software developer takes a first milestone before writing code, a wholesaler takes payment before releasing a container. But the money is not income until you deliver, and VAT is often due as soon as it arrives. This post covers the full life of an advance, from receipt to offset against the final invoice, with AED entries and the common errors that leave receivables and VAT returns out of line.

Receipt: a liability, with VAT

When a customer pays before delivery, credit a liability account called “customer advances” or “advances from customers”, not sales. The amount you owe them in goods or services is a real obligation until you deliver.

For VAT, Article 25 of the VAT Decree-Law makes the date of supply the earliest of events including receipt of payment and issue of a tax invoice. So a taxable advance usually triggers output VAT in the period it is received. Treat the advance as VAT-inclusive and issue a tax invoice for it within 14 days.

Worked example: a joinery order

An Al Quoz joinery workshop quotes AED 80,000 plus VAT for fitted wardrobes, AED 84,000 in total, with 50% upfront. The customer pays AED 42,000 on 5 August.

On 5 August: debit bank AED 42,000; credit customer advances AED 40,000; credit VAT output AED 2,000. Installation finishes on 20 September. The final invoice shows the full AED 80,000 plus VAT, less the advance already invoiced. Entry: debit customer advances AED 40,000; debit accounts receivable AED 42,000; credit sales AED 80,000; credit VAT output AED 2,000. The second half of the VAT falls in the period of the final invoice.

  • Advance invoice: AED 40,000 + AED 2,000 VAT
  • Final invoice: AED 80,000 + AED 4,000 VAT, less AED 42,000 already invoiced
  • Balance due: AED 42,000
  • Total VAT across both periods: AED 4,000, never more

The common mistakes

The most frequent error is charging VAT twice: once on the advance invoice and again on the full value of the final invoice, without deducting the advance. The second is booking the advance to sales, which overstates revenue in August and understates it in September. The third is letting old advances sit in the liability account long after the job is complete because nobody offset them.

Our view: run a report of customer advances older than 90 days every month. Each one is either an unfinished job, a final invoice that forgot to deduct the advance, or a refund you owe.

Cancellations and refunds

If the order is cancelled and you refund the advance, issue a tax credit note within 14 days of the cancellation, as Article 62 of the VAT Decree-Law requires, reduce output VAT, and pay the money back. If your terms allow you to keep part of the advance, the retained amount becomes income; check the VAT treatment with your tax agent based on the wording of the contract.

Foreign currency advances need a note too. VAT on an advance received in USD is converted at the Central Bank rate on the date of supply, under Article 69. The final invoice uses its own date’s rate, and any difference when you offset the advance is an exchange difference.

Handling advances in HelloBooks

Record the advance as a deposit invoice against the customer. When the receipt lands in your uploaded bank statement, the AI agent matches it and posts it to customer advances with the VAT split. When you draft the final invoice, the agent finds the open advance for that customer and project and offers to deduct it, so the VAT is not doubled.

Ask “which customers have advances older than 60 days with no final invoice?” and it lists them for follow-up. You approve each offset and refund. Businesses wanting a custom deposit invoice layout can ask for one through /book-a-demo.

FAQ

Frequently asked questions

Is a customer advance shown as a current liability?
Usually yes, because you expect to deliver within twelve months. Advances on long contracts beyond a year may be split between current and non-current.
Do I need to issue a tax invoice for an advance?
If the advance is for a taxable supply and triggers the date of supply, yes. The VAT Decree-Law requires a tax invoice within 14 days of the date of supply.
What if the final price changes after the advance?
The final invoice reflects the actual price, less the advance already invoiced. If the final price is lower than the advance, issue a credit note and refund the difference.
Can I spend customer advances?
Legally you usually can, unless the contract or a regulation requires the money to be held separately. Commercially, keep enough to finish the job and to cover the VAT on it.
