Client onboarding email templates for UAE accountants

A new client’s first fortnight decides how smoothly the next year runs. Most firms send one long welcome email listing everything they need and then wonder why documents trickle in for six weeks. A short sequence of five emails, each with one job, works better. Below are templates written for UAE practices, with notes on timing and what to automate.

Email 1: welcome, on the day they sign

Keep it to five sentences. Thank them, name their bookkeeper and reviewer, say what happens this week and when they will hear next. Do not ask for documents yet; the client is still enjoying having made a decision.

Template: “Thank you for choosing [Firm]. Your bookkeeper is Fatima and your reviewing accountant is Rahul; both are copied here. This week we will set up your accounts on [Firm] Books, our client platform. Tomorrow you will receive a short list of what we need from you. If anything is urgent before then, reply here or message Fatima on WhatsApp.”

Email 2: what we need, the next day

One list, numbered, with a deadline. UAE clients respond better to specific requests than to general ones, so name the months and the documents.

  • Trade licence copy and, if registered, the VAT and corporate tax registration certificates.
  • Bank statements for every business account from [month] to date, as PDF or CSV.
  • The last VAT return filed on EmaraTax and its payment confirmation.
  • A list of unpaid customer invoices and unpaid supplier bills.
  • Any loan, lease or major contract signed in the last 12 months.

Email 3: platform access, once set up

Send this only when the platform shows real data. A client who logs in to an empty dashboard decides it is not useful. With HelloBooks, the firm can upload the statements from email 2, let the AI agent match and categorise transactions and review them before the client ever signs in.

Template: “Your account on [Firm] Books is ready, with your bank activity from July to September already reconciled. Sign in here: [link]. Three things to try: type ‘who owes me money?’ in the assistant, photograph a receipt with the mobile app, and look at the VAT summary for this quarter. A two-minute video is attached.”

Email 4: first month review

After the first month close, send a short review: what you found, what you fixed and what changes for the client. This is the email that justifies your fee in the client’s mind.

Template: “Your September books are closed. Revenue was AED 214,000 and gross margin 38%. We found two supplier bills from August totalling AED 6,300 that had not been recorded and added them, which increases your reclaimable VAT by AED 300. Next step: please forward supplier bills to bills@[firm] as they arrive so we capture them in the month.”

Email 5: the 90-day check-in

At 90 days, ask how it is going, and mean it. Offer a 15-minute call. Ask whether anyone else in the business needs access, such as an operations manager who raises invoices, and whether any report would help.

This is also the moment to mention customisation. If the client wants a different invoice layout, approval rules for bills or a tailored management report, your firm can raise it with HelloBooks through /book-a-demo or hello@hellobooks.ai.

Language, timing and automation

Many UAE clients prefer bilingual communication, or Arabic for some contacts and English for others. Ask on day one and write the preference into the client file. Send emails during the UAE working week and avoid the Friday afternoon slot, when responses drop sharply.

Automate the reminders, not the relationship. Emails 1, 4 and 5 should come from a real person. Email 2 can be a template with a tracked deadline, and payment reminders for your own fees can run by email or WhatsApp from your firm’s books. Our view is that clients forgive slow software far more readily than impersonal service.

Measuring whether onboarding works

Track two numbers for every new client: days from signing to first complete set of documents, and days from signing to the first closed month. A healthy UAE practice might aim for ten and forty-five. If documents routinely take three weeks, email 2 is too long or too vague; if the first close drags, the platform setup is starting too late.

Review the numbers each quarter and change one email at a time. Small edits, such as naming the exact months of statements needed or adding a photo showing how to download a CSV from online banking, often cut days off collection.

FAQ

Frequently asked questions

How many onboarding emails is too many?
Five over 90 days is about right. More than that, especially in the first week, overwhelms clients and slows document collection.
Should onboarding emails be in Arabic?
Ask each client. Some owners prefer Arabic while their finance staff prefer English; send to each contact in their preferred language.
When should clients first log in to the platform?
Once real data is loaded and reconciled, so their first impression is a useful dashboard rather than an empty screen.
Can the AI help draft the first month review?
Yes. The AI agent can summarise revenue, margin, overdue customers and adjustments from the ledger. A person edits and sends it.
