AI bank reconciliation without bank feeds: how it works in the UAE

Accounting software marketed abroad often assumes live bank feeds: transactions flow in overnight and reconciliation happens almost by itself. In the UAE, live feeds into accounting software are not widely available, and HelloBooks does not offer them for UAE banks. That does not mean reconciliation has to be manual. With statement uploads and AI matching, a month of bank activity can be reconciled in a fraction of the time it takes to tick lines by hand.

The upload step

Download the statement from online banking as PDF, CSV or a spreadsheet file and upload it. HelloBooks reads statements from any UAE bank, picking out the date, narration, amount and running balance for each line, and checks that the opening and closing balances agree with the previous upload.

CSV and spreadsheet files are read most reliably. PDF statements work well too, though scanned paper statements are harder. If your bank offers a choice, pick CSV.

What the AI matches

Once lines are in, the AI looks for matches against what is already in the ledger. A receipt of AED 47,250 from a customer is matched to the open invoice for that amount. A payment of AED 12,600 to a supplier is matched to their bill. A card settlement is matched to recorded daily sales net of the merchant fee.

It handles harder cases too: one customer payment covering three invoices, a part-payment, a payment in USD against an AED invoice with an exchange difference, or a supplier paid in two instalments.

  • One-to-one matches by amount, date and reference.
  • One-to-many matches where a payment settles several invoices.
  • Partial matches with the balance left open.
  • Multi-currency matches with FX differences posted.

What it proposes for the rest

Lines with nothing to match, such as bank charges, rent, utilities and salary transfers, get a proposed account and VAT treatment based on the narration and past behaviour. A monthly debit described as a standing order to the same landlord is proposed as rent; a small charge described as a service fee is proposed as bank charges, usually standard-rated.

The bookkeeper reviews each proposal. Corrections teach the AI, so the next month’s statement needs fewer.

A worked example

An interiors company in Al Quoz has two accounts: an AED current account with 260 lines a month and a USD account with 40. The bookkeeper uploads both statements on the 2nd. The AI matches 215 AED lines to invoices, bills and transfers and proposes categories for 38 more; seven need the client’s input. On the USD account, it matches 34 lines and posts FX differences.

Review takes about 75 minutes. Manual reconciliation of the same 300 lines used to take most of a day. Over a year, for this one client, that is roughly 60 hours saved.

Keeping reconciliation current

The weakness of uploads compared with feeds is timing: the books are only as current as the last statement. Fix this with habit. Upload weekly for busy clients and monthly for quiet ones, on a fixed day. Some firms ask clients to email statements every Monday; others log in with view-only banking access where the client permits it.

Inter-account transfers deserve attention. If a client moves AED 50,000 from a current account to a deposit account, both statements need to be uploaded for the transfer to match on both sides.

Why not wait for feeds?

Feeds would be welcome, but waiting for them leaves months of unreconciled books. Uploads with AI matching already remove most of the manual effort. They also have one advantage: the uploaded statement is a bank-issued document attached to the period, which auditors and the FTA understand.

If your firm needs a particular bank’s statement layout handled differently, or reconciliation reports in a specific format, request it via /book-a-demo or hello@hellobooks.ai.

What a person still does

A person confirms that the reconciled balance agrees with the statement, investigates unmatched lines, follows up on cheques that have not cleared and asks the client about transactions nobody recognises. The AI does the matching; the bookkeeper owns the reconciliation.

Handling messy narrations

UAE bank narrations can be cryptic: truncated beneficiary names, transfer references in capitals and card merchants listed by their payment processor rather than their trading name. The AI learns these over time, linking a narration such as a shortened supplier name to the supplier record once a bookkeeper confirms it.

Help it along by asking clients to include invoice numbers in payment references, and by recording customers’ names as they appear on the bank line where that differs from the trading name. Small habits like these lift the automatic match rate noticeably within a quarter.
