Late VAT return in Ireland: what happens and how to fix it

If you miss a VAT deadline in Ireland, the first priority is to file and pay as soon as you can. Revenue charges interest on VAT paid late for each day or part of a day it is overdue, and it can raise an estimate where a return has not been filed. Most late returns come from books that were not ready, so the lasting fix is a routine that keeps them current.

The deadlines

The standard taxable period is two months, starting in January, March, May, July, September and November. You must file and pay by the 19th of the month after the period ends. For ROS filers, the time limit for filing the return is extended to the 23rd.

Revenue may authorise other frequencies, such as four-monthly or six-monthly returns for businesses with low annual liabilities, so check what applies to your registration.

Interest on late payment

Revenue applies interest to VAT paid after the due date, calculated per day or part of a day. It is not a fixed fine, so every day counts: filing a week late costs less than filing a month late. Revenue publishes the current rate on its interest and penalties page.

Estimates for missing returns

If a return is not filed, Revenue can issue an estimate of the VAT it believes is due and pursue that amount. An estimate is not a reflection of what you owe; it is a prompt to file. The way to replace it is to file the correct return for the period.

Getting back on track

Work through the backlog in order rather than all at once.

  • File the oldest missing period first, even if you have to correct it later.
  • Pay what you can with each return to stop interest growing.
  • Talk to Revenue early if you cannot pay in full; it is easier before enforcement starts.
  • Ask your accountant to review the periods you rushed.

Why returns end up late

Late VAT returns are usually a bookkeeping problem, not a tax problem. Bank statements have not been imported, receipts are in a drawer, and the return depends on a weekend nobody has free. When the books are current, preparing the return takes minutes, and the deadline stops being a cliff.

Set a reminder a week before each deadline, not on the day, and treat it as the date your figures must be ready. If someone else prepares your return, give them the same date.

Corrections after filing

Sometimes the problem is not a missed return but a wrong one. If you find an error in a return already filed, correct it rather than hoping it washes out. Small errors can often be adjusted in a later return, which keeps the correction simple, while larger ones may need the earlier period amended; your accountant will know which applies and how Revenue expects it to be done.

Keep a note of what was wrong and why. If Revenue asks later, a clear explanation and a prompt correction tell a much better story than a silent fix.

A deadline routine that sticks

Most businesses that never file late follow a version of the same routine.

  • Bank and card activity brought in weekly, not at period end.
  • Receipts captured the day they arrive.
  • Figures reviewed around the 10th of the filing month.
  • Return entered in ROS with days to spare.
  • Payment scheduled at the same time as filing.

How HelloBooks keeps you ahead

HelloBooks keeps transactions coded with their Irish VAT treatment as they arrive and computes the VAT3 figures from the ledger at any point in the period. You can see the likely liability weeks before the deadline, then review and enter the totals in ROS. HelloBooks does not file the return for you.

FAQ

Frequently asked questions

When is my VAT return due?
File and pay by the 19th of the month following the period. If you file through ROS, Revenue extends the filing time limit to the 23rd.
Does Revenue charge a penalty for a late VAT return?
Revenue charges interest on late payment for each day it is late, and can raise an estimate if no return is filed. Check Revenue’s interest and penalties pages for anything further that applies to you.
Can I file a nil return?
If you had no VAT to report for the period, you still file the return for that period. Ask your accountant if your registration should change.
What if I cannot pay the VAT?
File anyway, pay what you can, and contact Revenue promptly about the balance. Not filing makes the position worse.
