Every accounting tool can email a PDF. The person on the other end still has to read it, re-key the vendor, the lines, the tax, and the due date — or run it through OCR and fix what OCR got wrong. The HelloBooks Network Key skips all of that: because both sides are on HelloBooks, the invoice is delivered as structured data and materialises as a draft bill in the recipient’s books, already coded.

It is the same idea as Xero’s Network Key, built into HelloBooks and wired to the India GST engine — so a sender’s output GST arrives as the recipient’s input tax, ready to reconcile.

Every HelloBooks entity gets a unique, shareable Network Key. You connect a customer by pasting their key against their contact record — a one-time handshake.

• Turn on your Network Key in Settings and share it, or paste a customer’s key to connect them.
• When you send a connected invoice, choose “Send via HelloBooks Network.”
• It lands in their books as a draft bill — amount, lines and tax pre-filled, your invoice number kept as the reference.
• They review and approve. Nothing posts to their ledger until they do.
• Credit notes travel the same way — a sales credit note arrives as a draft vendor credit note.

A delivered document is always a draft. It never touches the recipient’s ledger until they approve it, so a mistaken send can never create a journal on someone else’s books. The key is a capability token you can rotate or disable at any time, and a recipient can block a sender outright.

Both sides get a full audit trail of what was sent and received. If you withdraw an invoice after sending, the recipient’s still-unapproved draft is voided automatically. Foreign-currency documents arrive flagged for a tax and FX review before any input tax is claimed.
