Why the compliance questions come first

Location decides which 7216 rules apply. A preparer outside the United States needs client consent before disclosure, and for Form 1040 series returns the SSN must be masked under 301.7216-3(b)(4). A provider that cannot explain its process here is not ready for US tax work.

The Safeguards Rule then requires you to select providers capable of appropriate safeguards and to require those safeguards by contract, under 16 CFR 314.4(f).

Score the answers, not the pitch

Ask for evidence wherever you can: a redacted contract, a security policy, a sample workpaper. Score each answer on a simple scale and weight compliance and security above price.

Ask whether they can work in your books

Providers that can work inside your HelloBooks client files under scoped logins avoid the download-and-return loop entirely. That one answer settles several of the security questions above.

FAQ

Frequently asked questions

Should we pilot before committing?
Yes. Send a small batch of representative files before the season and measure review time and re-work, not just turnaround.
Which question rules a provider out fastest?
The SSN and consent questions. If the provider cannot describe how it handles them, the rest of the answers matter less.
