Part of HelloBooks POS · Inventory at POS
Retail leaks money in three places — pilferage, spoilage, miscount. HelloBooks gives shift staff a fast wastage-entry path that posts to the right expense account and shows up on the shift Z-report — making leakage visible, accountable, and reducible.
Every detail, dialled in
Built for the till, validated against the canonical accounting engine — so every POS sale closes the books cleanly.
Shift-bound wastage
A wastage entry is tied to the open shift. When the shift closes, every wastage line shows on the Z-report by reason and quantity. No “I think we lost some tomatoes” — there is a number.
- Tied to open shift
- Reason + quantity required
- Visible on Z-report
- Per-cashier breakdown
Posts to the right expense
Different reasons map to different expense accounts: Spoilage / Damage / Shrinkage / Sample / Display. The bookkeeper does not have to reclassify; the engine routes correctly.
- Per-reason expense routing
- Custom reason codes
- Approval workflow optional
- Per-period rollup
Pattern detection
Across outlets, across reasons, across cashiers — the wastage report shows where leakage is concentrated. A 2x spike on one cashier’s shifts is a conversation; a category running 5% wastage is a buying problem.
- Per-outlet ranking
- Per-cashier signal
- Per-category trend
- Auto-alert thresholds
Why teams move off legacy tills
- Wastage in a notebook
- Posted to a generic “loss” account
- No shift accountability
- Pattern invisible
- Wastage entry on the till
- Routed to the right expense
- Visible on Z-report
- Patterns surfaced automatically
Questions, answered
Who can record a wastage entry?
Any cashier on the open shift. Some categories (e.g. high-value damage) can be configured to require manager passcode.
Does wastage affect GST?
It is a non-GST inventory write-off. The book journal hits the relevant expense; the GST pipeline is unaffected.
Can I require a photo or note?
Yes — per-reason. Damage entries can require a photo, sample-out entries can require a note.
What is shrinkage vs spoilage?
Shrinkage = unaccounted loss (theft / miscount). Spoilage = item went bad. Each maps to its own expense account; the report separates them.
