A usable document photo

Before the shot

  • Flat surface, good light
  • Whole page in frame, all four corners visible
  • One page per photo

After the shot

  • Text readable when zoomed
  • Upload through the secure link, not a text message
  • Delete local copies if the client prefers

Are photos good enough?

Publication 583 says all requirements that apply to hard copy books and records also apply to electronic storage systems, including electronic imaging. A clear, complete image is a record; a cropped or blurred one is not.

Make the upload route secure

Text messages and personal email are where client photos usually go wrong. Publication 4557 recommends encrypting sensitive files, so send a link that opens an upload page in the phone’s browser.

  • Link opens straight to upload
  • Camera option offered on the page
  • Confirmation shown to the client after upload

Receipts during the year

For bookkeeping clients, the best mobile habit is capturing receipts and bills when they happen. Receipts captured in HelloBooks attach to the transaction in the ledger, so they never need to be requested at tax time.

FAQ

Frequently asked questions

Should clients keep the paper originals?
Publication 583 says originals may be destroyed once the electronic storage system has been tested. Clients should keep originals until you confirm the images are complete.
What about multi-page forms?
Ask for one photo per page and check page counts on brokerage statements, which are the most common partial upload.
